How It Works

Simple Implementation.
Full Support
Every Step.

From census submission to benefits launch, Prospera Benefits manages the entire process. Most employers describe it as significantly lighter than a standard open enrollment.

The Process

Five Stages From
Census to Launch

Prospera Benefits manages each stage. Here is exactly what happens — and what your team is and isn’t responsible for.

1

Submit Census Data

Share a standard employee data file. Prospera Benefits uses your actual workforce data to model projected outcomes specific to your company — not industry averages or generic estimates.

Standard Excel or CSV file with employee names, ages, salaries, and employment status
No sensitive personal data, medical records, or social security numbers required
Census template available for download to make submission straightforward
Most HR teams complete the census submission in under 30 minutes
HR effort: Low — one-time submission
2

Proposal

Prospera Benefits builds a full, data-driven proposal from your census. You receive a clear picture of what your workforce would gain — and what your company saves — before any commitment is made.

Per-employee take-home pay increase projections based on actual salary data
Total employer FICA savings estimate modeled from your payroll structure
Expected enrollment rate, plan performance impact, and net employer cost
Delivered within 3–5 business days of census receipt
HR effort: Review and approve proposal
3

Open Enrollment

Prospera Benefits manages the full employee-facing process — from communication and education through election collection. HR’s role is limited to distributing an internal announcement using templates we provide.

Clear, jargon-free written materials explaining the benefit and take-home pay increase
Live or virtual employee information sessions available on request
Dedicated employee FAQ support before and during enrollment
Fully voluntary participation — employees elect or decline at their discretion
HR receives a clean enrollment summary once elections are complete
HR effort: Distribute announcement, receive summary
4

Payroll Implementation

Prospera Benefits works directly with your payroll provider to implement the pre-tax deduction structure accurately and on schedule. Most major platforms are supported with minimal HR involvement.

Compatible with ADP, Paychex, Gusto, Paylocity, Rippling, QuickBooks Payroll, and others
Dedicated implementation manager coordinates directly with your payroll contact
Pre-tax deductions appear correctly on the first applicable pay cycle
Employer FICA reduction begins immediately upon first payroll run
HR effort: Provide payroll system access
5

Benefits Launch

Employees gain access to their expanded benefits on day one of the first qualifying pay period. Prospera Benefits provides ongoing support throughout the plan year so HR is not the first point of contact for employee questions.

Employees activate and begin using benefits immediately at launch
Dedicated employee support line handles usage questions and service access
Regular utilization and performance reporting delivered to HR
New hire enrollment handled through a streamlined process during onboarding
HR effort: Ongoing — minimal

Most implementations are completed within 4–8 weeks from census submission to benefits launch. A dedicated Prospera Benefits implementation manager guides your team through every stage.
